Construction Administrator

Job Description

Franklin Street is currently seeking a Construction Administrator to join our Project Management Team in Atlanta, GA. 

The ideal candidate must possess 2 years in office administration, administrative assistance, clerical work, or construction document management with experience in construction and/or project management preferred.  Strong computer skills with Microsoft Office (Excel, Word, Outlook, Power Point).  A bachelor’s degree with a major in construction management, engineering, or a closely related field from a college or university preferred.

Essential Functions:

  • Contract Management, change order management, close out project books
  • Assist in the project bid process
  • Prepare and send client invoices
  • Assist in pitch materials and proposal packages
  • Submit permit applications and necessary applications to local governmental jurisdictions
  • Prepare, track & manage material orders for clients, e.g. furniture, signage
  • Put together bid package docs; Request for Proposals, Construction Documents, Scope of Work, Alternates, project access information (parking, staging, site trailer, dumpsters)
  • File and organize the project file
  • Write meeting Minutes and purchase Orders
  • Review all contractor monthly draws and prepare spreadsheets for project draws
  • Set up meetings for the Project Managers
  • Obtain project information; permitting requirements, utility connection fees, municipal right of ways, access agreements, etc.
  • Assemble the project close out package; Warranties, material information, project ‘as‐builts’, equipment information, contractor contacts, and maintenance agreements.
  • Set up and maintain project contact list and email groups
  • Prepare conference room(s) for project meetings
  • Assist with client appreciation events and gifts
  • Perform additional duties as directed

Knowledge, Skills and Abilities:

  • 2 years in office administration, administrative assistance, clerical work, or construction document management
  • Experience in construction and/or project management preferred
  • Ability to always maintain a positive attitude and professional demeanor and appearance and perform well under project constraints and deadlines
  • Ability to successfully ensure the accuracy of project documentation.  Ensure compliance with applicable laws and regulations
  • Strong computer skills with Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Working knowledge of project management software
  • Willingness to test and implement new technologies as they become available
  • Solid numerical and analytical skills and ability to apply these skills to achieve accurate project budgeting and basic estimating for project scope changes
  • Strong communication skills, including excellent ability to identify and understand requirements of the project team and to participate in collaborative problem
  • Ability to earn respect through the credibility of construction knowledge and positive approach to problem solving
  • Ability to develop productive relationships within the project team, with contractors, and with design teams and clients

Education and Technical Requirements:

  • A bachelor’s degree with a major in construction management, engineering, or a closely related field from a college or university preferred
